  3. Don't Overcrowd: It's better to have a few empty seats than to leave guests behind. A 55-passenger bus should not be booked for 55 people plus last-minute additions. Talk to your sales rep about a comfortable buffer.

To ensure you get the vehicles you want, on the date you need, this should be one of the first vendors you secure after booking your venue and date.  To be clear, it never hurts to call even if your event is around the corner.  But weekends fill up quicker, no matter the time of year it is. So to be safe and guarantee you have bus transportation for your wedding, it’s best to book early.

  • Are you available for my wedding date? (we wouldn’t offer a contract if we weren’t, lol)
  • What vehicles are in your fleet? Can I see them in person?

  • Refreshments: Ask about the policy for allowing food and beverages, especially alcohol. Yes, GTS does allow alcohol, but we must be made aware of it prior to your trip. We typically require an additional refundable deposit for groups that will be drinking. I'm sure you can imagine how crazy some groups can get (not that your group will be that bad... right?). This deposit simply ensures any extra cleaning and/or damage is covered and is refunded if all is well.

  • Share the Plan: Include shuttle information on your wedding website and in invitations. Be specific: "Shuttle departs promptly at 4:15 PM from the main entrance of The Marriott."
  • Share the Route: Give your GTS sales rep all the details. We need exact addresses, including "which entrance at the church" or "the specific service road for the barn." If you're stopping for photos at a park, we need to add that to the driver's itinerary.

On the Wedding Day:

  • Assign a "Bus Captain": Designate a member of the bridal party or a trusted friend (not you!) as the point-of-contact for the driver.
  • Provide the Contact Info: At least one week before your wedding, please give your GTS sales rep the name and cell phone number of a point of contact. This ensures the driver can communicate about arrivals or any day-of changes without bothering the happy couple.

Frequently Asked Questions (FAQ)

Do we need to tip the driver?

Yes, at some point.  While many transportation companies automatically include gratuity, GTS does not. However, we can absolutely build it into your total price if you ask. Let's be honest, it's just easier. We all have that mental image of the father of the bride walking around the reception with a pocket full of cash-stuffed envelopes for every single vendor. While you can definitely go that route and tip the driver in cash, letting us add it to your contract beforehand is one less thing you or your family has to worry about on the big day. Ultimately, it's all up to you. Whatever works better for you, we can do. We are here to make things easier, not harder for you.

How many hours should we book?

Be generous. You need to account for the entire service block: from the driver leaving the garage, to the first pickup, to waiting during the event, and the final drop-off, plus the return to the garage. It's always better to book an extra hour than to cut it close.

Can the bus make multiple trips?

Yes! We often set up "early" and "late" departures from the reception. For example, one bus might leave at 9:30 PM for guests who want to turn in, and the "final" trip will leave at 11:00 PM after the send-off.
